Please find attached a Notice of Special General Meeting to be held in the clubrooms on Monday 1st September 2025 at 7.00pm.
The reason for the meeting is for the Board of Management to seek permission from Members to spend up to $50,000.00 on the Southern Verandah Project in the coming months.
Background information – at the 2025 AGM the Board sought and received approval to spend $30k on the upgrade to the southern verandah in front of rinks 1-6. This was in response to concerns about player welfare, comfort and safety. We have a Duty of Care that requires attention.
After receiving quotes for various options we approached the Council to seek support and/or a grant to carry out the project. The Council have been supportive and approved our final drawings and quotes. HOWEVER, they have advised that this project will now go through an internal process and review, and if successful will go into the 2026/2027 Budget. This could mean two things – 1) It is at risk of being approved amongst the many applications they have for funds and, 2) the best timing would be this time next year.
The alternative is for Woodville Bowling Club to self fund the project and get it done before the end of October this year, hence the request for Members to approve the full spend.
Some extra info – we will proceed to demolish and remove the current verandah roofing along with the electrical work. This is included within our total spend of $50k.
The Company whose quote we have accepted and submitted to Council includes drawings, structural layout and all aspects of the project. The Company, Shadeform, have also quoted for a similar project on the Northern end of our greens for next year. They are locally based on Grange Road. We have also visited Beaumont Bowling Club where Shadeform have constructed a very similar system.
At the meeting we will provide drawings, a video, and respond to all questions.
We do have the finances available to proceed immediately.
